Fixing of Area & Division Contest Dates of all Contests

Dear Readers,

Since I have left Singapore to pursue my studies and pursure my research during my leisure time (if any), I hoped that things have changed for the better.

Apparently, my research of the contests have been yielding lots of data that I have to take some time to plot the trend convergence. When a trend converges, it means that this is getting very common and it is good to be aware of the current competition scene. This has been proven as far as the Chief Judge is factored into the prediction.

I would like to encourage the Area Governors to seriously reconsider in planning your Area Contest  Date prior to the upcoming COT in July 2012 period, so that the Division contest will fit in smoothly for the District Contest for the semi-annual Convention
If you can announce your area contest dates that you are looking at early before you actually take over from the previous term District Officer, this will not only save the clubs lots of trouble in arranging the contests and getting contestants, but also make clubs adjust the work plans smoothly to concide with the dates....

Please heed this advice, otherwise be prepared for potential organizational nightmares to face in the last 6 months of the term.

"When there is an event nightmare, it takes ages to recover"

Meeting Agenda Calculations (List of Formulas used)

Dear Readers,

When I was trained by my TM friend for my VPE role, Sam Chee Yee, he advised me on the specific areas to run the calculations,

We have been through a fast-paced culture, where time is of paramount concern.

Afterwhich, I made revisions to the formula (which I have been using), following my tour in Singapore during Dec 2010 to Feb 2011 to see how extensive the problem is in our TM meetings.

Presidential Address: 3-5 minutes
Word of the Day: 3-5 minutes

Prepared Speeches Time Allocation:
1. Upper Limit of each timing sequence of each speech to the nearest whole minute (i.e. 8 minutes for 7 mins 30 seconds)
2. Total Number of Speakers mutiply by 2 mins TMD transition (i.e. 5 speakers x 2 = 10 minutes)
3. Summation of the upper limits of each speech + 2mins TMD transitions per speakers (i.e. 32 + 10 = 42 minutes)
4. Finally, round the number off to the nearest 5 minutes (i.e. 42 minutes ~ 45 minutes)

Prepared Speeches Evaluation Allocation
 1. Upper Limit of each timing sequence of each speech to the nearest whole minute (i.e. 4 minutes for 3 mins 30 seconds)

Table Topics:
1. Restricted to a maximum number of speakers must be indicated in programme for Table Topics Master's planning sake
2. Allocate 20 minutes if you intend to have 5 speakers

Table Topics Evaluation:
Since 5 speakers for Table Topics, evaluation would run from 5-7 minutes
what if 3 speakers for Table Topcs, evaluation would run from 3-5 minutes
N.B: There is a buffer of 2 minutes for this segment

Language Evaluation: 8 minutes
Buffer: Assume it is 10 minutes

General Evaluation: 8 minutes
Buffer: Assume it is 10 minutes

Ah Counter: 3 minutes
Buffer: Assume it is 5 minutes

Disclaimer:
I will be running a series of tests onto my laptop using Excel Spreadsheet Analysis to determine the extent of the problem. This problem is deteroriating at a fast speed, which may be possibly tackled with the highest priority.

Visit to Tampines Changkat Advanced TMC on 28th Dec 2010

This post will like to thank PDG Michael Wee, DTM for inviting me.
(He knows I am coming, the rest didn't know)

Dear Readers,

As I heard that someone special is cooking for this meeting, I specially made this trip to attend this meeting.

Here are my take on this chapter meeting:

Strengths:
1. The food is WOW!
2. All were clearing their speech projects.
3. TME Transition was running on an average of 2 minutes.
4. LE was engaging
5. GE covered a wide spectrum of the meeting, in looking at spacing, legend, ice-breaker, setting up of TM meeting venue

Suggestions:
1. 2 TMEs in a chapter meeting - make the TME job less stressful
2. On-spot evaluation method should be used to train the members in advance for the speech contests in 2011. (Early bird catches the worm)
3. LE Evaluation report is running on a common template. - will propose this revised template, with credits to Darren Tay, ACG, ALB for his innovative approach which he undertook to deliver his evaluation.
4. Ah Counter - Why ers? - Till now, no one can answer me about this. Still pissed. Keeping my fingers crossed when I restart this shelved project, due to low receptivity in Singapore TM.

Live Load Calculations (Under actual conditions & initial assumptions made by VPE):

From VPE initial assumption, the meeting is supposed to end by 9.55pm.

From the live load calcuations, I predicted the meeting would end 7 minutes late.
In fact, it ended at 10.10pm, as much as I expected it.

I still pissed at the way we calculate the meetings in terms of programming. This calls for serious re-looking at. Look like I have to document the formulae in a separate posting to address the problem in meeting time calculations.

Visit to Cheng San TMC on 22nd Dec 2010

Dear Reader,

Here is one learning lesson from this club, which Pat Johnson, DTM, International President 2010-2011 have been advocating:

REDO your manuals!

Ways to redo the manual:
1. Reverse the process of completing the manual
2. Mirror-reverse the process of completing the manual in obtaining the objectives correctly in both projects.
3. Redo the whole manual literally.

Learning Points:
1. Repeating the Projects will allow you to keep in touch with the basic skills.
2. Give yourself another chance in re-learning of what you have already learnt.

Visit to Charistmatic Influencers TMC on 17th Dec 2010

This post is dedicated to Charistmatic Influencers TMC

Dear Readers,

I was given this topic, "What do you when you have someone whom is so hard to appreciate?"during the Table Topics Session

No matter how tough a topic was, I was torn between two approaches.

FOLLOW:
1. Shared about someone whom is so hard to appreciate
2. Explain the reasons
3. Conclude with the recapping of point

NOT FOLLOW:
1. Did not have anyone in mind
2. Talk about something of being appreciative in life.
3. Conclude with point 1 & 2 .

Regards,

Gerald Ong ACG, ALB
